This policy explains how personal data is handled when you visit webgeodesign.com or contact WebGeoDesign. Work carried out on customer websites is governed separately by the relevant service agreement and privacy notices.
01 / Data controller and contact
WebGeoDesign is the brand name for web design and GEO analysis services provided by Ozan Soft. Ozan Soft is the data controller for the personal data processing activities covered by this policy.

02 / What data do we process, and why?
When you visit the website
The web server may record technical information in access and error logs, including your IP address, access time, requested page or file, response status, volume of data transferred, browser information and referrer address supplied by your browser. These logs are used to operate the website, investigate errors and detect misuse.
When you contact us directly
Names, contact details, company information, project requests, messages and attachments sent by email or WhatsApp may be processed to assess your enquiry, respond to you and manage proposals or services. Only share information needed for your request; do not send passwords, API keys or special categories of personal data.
Legal grounds for processing
Enquiry and proposal data is processed to the extent directly related to and necessary for entering into or performing a contract (Article 5(2)(c) of Türkiye’s Personal Data Protection Law, KVKK). Technical security logs are processed on the basis of our legitimate interest in operating the website securely, provided your fundamental rights and freedoms are not harmed (Article 5(2)(f)). Article 5(2)(ç) applies where processing is necessary to fulfil legal obligations, and Article 5(2)(e) where necessary to establish, exercise or protect a right. If a separate activity requiring explicit consent is introduced, information and a choice will be provided separately. Visiting the website alone is not treated as explicit consent.
03 / How does the project note form work?
The “Tell us about your project” form turns your selected service and note into a prepared message in your browser. The “Continue in WhatsApp” button passes this text to WhatsApp in the link’s query parameter and opens a conversation with our number, 0850 303 37 83. You must take a separate action in WhatsApp to send the message.
This form content is not saved on the WebGeoDesign server or stored in cookies or localStorage. However, opening the WhatsApp link sends the prepared message and necessary technical connection information to WhatsApp; the URL may appear in your browser history. Do not include passwords, API keys or sensitive personal data. WhatsApp’s own privacy and data processing terms also apply.
The example WhatsApp conversations and update options on the page are demonstrations only; they do not start a real conversation or update a customer website.
04 / Cookies and measurement tools
The current website application code does not create cookies or persistent browser storage. Google Analytics, advertising pixels and similar visitor tracking tools are not integrated. Your browser caching pages and files is different from the application setting tracking cookies.
If new analytics or advertising tools are added in the future, this policy will be updated and, where required, your choice will be obtained before those tools are activated.
05 / Service providers and external links
Hosting
Website files and technical access logs are processed within the hosting infrastructure. Hosting and technical support providers may access technical data necessary to publish, maintain and secure the website as part of their services.
Google Fonts
Fonts in the current version are loaded from Google Fonts. When a page opens, your browser sends requests to Google servers; your IP address and technical information necessary for the connection are transmitted to that service. According to Google, the Google Fonts API does not set or log cookies. See the Google Fonts privacy information for further details.
Email and WhatsApp
Email links open your device’s email application, while WhatsApp links open WhatsApp. These providers may process data under their own infrastructure and privacy terms. Correspondence received by WebGeoDesign is handled for the communication purposes described in this policy.
Google Fonts and communication or hosting services with infrastructure outside Türkiye may result in technical information or your messages being processed abroad. The conditions in Article 9 of the KVKK also apply to international transfers; publishing this policy or using the website alone does not constitute a transfer safeguard or explicit consent. Necessary information may be disclosed to competent public authorities where legally required.
06 / Retention and security
The server’s current log rotation configuration rotates access and error logs daily and retains 14 rotated files. Under normal operation with logs generated every day, this represents roughly two weeks of history. It is not a guaranteed deletion deadline, as there may be days without logs, separate backups or records preserved in relation to an incident.
Email and project correspondence is retained for as long as needed to assess enquiries and manage the service relationship. Where a legal retention obligation or a need to protect a legal claim applies, relevant records are kept only for as long as that requirement continues. There is therefore no single fixed retention period for all correspondence. Once the reasons for processing and retention end, data is deleted, destroyed or anonymised.
The website is served over HTTPS. Absolute security cannot be guaranteed for internet communications; we recommend limiting the information you share to what your enquiry requires.
07 / Your personal data rights
Under Article 11 of Law No. 6698, you have the right to learn whether your data is processed and for what purposes, request information if it has been processed, learn about recipients in Türkiye and abroad, and request correction of inaccurate or incomplete data. Where statutory conditions are met, you may request deletion or destruction and notification of these actions to recipients, object to an adverse outcome resulting solely from automated analysis, and seek compensation for damage caused by unlawful processing.
For privacy questions, contact [email protected] by email. Formal KVKK applications may be submitted in writing to Ozan Soft at the address above, or through other legally accepted methods. You may also apply using an email address you previously provided to us and that is held in our records. An ordinary email should not be assumed to be a valid application method in every case; proportionate additional information may be needed to verify your identity.
Duly submitted applications must be answered as soon as possible depending on their nature, and no later than 30 days. Current guidance on application and complaint procedures is available from the Turkish Personal Data Protection Authority website.
08 / Policy updates
This policy will be updated when website features, communication channels or data processing practices change, with the update date shown at the top of the page. This version reflects the website’s features as of 6 October 2026.
